The back office for the business
Everything that comes up between the building site and the tax office. On your phone, offline, without needing to know what a chart of accounts is.
From the quote to money in the bank
A job always takes the same route: you price it, the customer agrees, you do the work, you invoice, the customer pays. ELMOF knows that route. Whatever you have typed in once is never asked for again.
Writing quotes
Pick the customer, add the line items, set the price. The quote goes out as a PDF. If the customer says yes, one tap turns it into an invoice with every line and price intact. You never type the same thing twice.
Service catalogue
Your recurring line items with name, unit and price: an hour of fitting, the call-out, a metre of cable, a flat rate. When writing a quote you pick from the list instead of typing it again. The catalogue grows as you go.
Invoices with the Swiss QR code
Every invoice carries the QR code your customer scans in their banking app. Nothing has to be typed across, so nothing goes wrong. All the required details are on it: your address, theirs, the invoice date, the place, the due date and your VAT number if you have one.
Recurring invoices
Maintenance contracts, monthly retainers, annual inspections. You set up the template once and say how often it falls due. ELMOF prepares the draft on the day and tells you. Nothing goes out until you have looked at it.
Reminders
If an invoice stays unpaid, you write the reminder straight from it, in stages and with a new deadline. The reminder is a PDF you send like any other.
Matching payments
If a customer settles three invoices with one transfer, you split the amount across the three. If they pay part of it, the rest stays open and keeps being counted.
Customers and suppliers
Addresses, phone numbers and the whole history in one place: which quotes this customer received, which invoices are open, what they have already paid.
Every job with its costs
A project is more than the invoice at the end. It is hours, materials, travel and a budget worth watching while you can still do something about it.
Projects with a budget
Every site and every job gets a budget. Hours and materials are booked against it. You can see how much has gone at any time, not only at the final invoice when it is too late.
Logging hours
Whoever did the work enters their time on the project, with the date and what they did. It works without a signal, in a basement or a shell building. No franc figure appears on the employee device while they do it.
Time and materials
Work charged by effort rather than a fixed price. The hours accumulate and you invoice them when it suits. ELMOF keeps apart the three rates that are easily confused: what the employee earns, what they cost the business, and what you charge the customer.
Work reports, signed by the customer
A work report with line items and photos, written on site. The customer signs with a finger on the screen. The PDF reaches them before you are back in the van.
General costs
Rent, phone, vehicle, insurance: everything that belongs to no single project collects in one place, with its own monthly budget and a month by month view.
A project folder on your phone
Each project gets a folder in your phone Files app. Plans, photos, quotes and invoices sit where you would look for them, outside ELMOF as well.
Diary and calendar
The company diary records what happened during the day and what is still to be done. The company calendar shows appointments, holidays and sick days for your people side by side.
Bookkeeping without being a bookkeeper
The part most people dread. It is built so you need to know nothing about debits and credits. The chart of accounts is created during setup, not asked about.
Quick entry
Amount, date, what it was. Three details and the expense is recorded. The account is preselected sensibly and can be changed, so rent, phone and fuel do not all end up under materials in the export.
Photograph the receipt
Snap it and you are done. The receipt is attached to the entry and is there again at an inspection, without a shoebox and without searching.
Cash boxes
Cash per vehicle or team, each with its own balance. You can see what should be in the box and notice when something is off.
Recurring expenses
Rent, leasing, insurance premiums. Entered once, after which the app reminds you on the day instead of you keeping it in your head.
Supplier invoices
What you have to pay yourself, with a due date. These amounts are deducted from your available money, otherwise you count yourself richer than you are.
Reading the bank statement
Download the camt.053 file from your bank and hand it to ELMOF. The app suggests which line belongs to which invoice. You look through it and confirm.
What is left today
The question that matters in the evening. The bank balance does not answer it, because part of it already belongs to someone else.
Available money
The balance, minus what is already spoken for: open supplier invoices, the wages due next week, the money set aside for tax and social security. What remains is the figure you can actually plan with.
Every figure shows its working
Tap a figure and underneath it stands the calculation, item by item. There is no number in ELMOF you simply have to believe.
Where the jobs are stuck
Quote sent, quote accepted, job running, invoice issued, paid. Five stages side by side. One look tells you where something has been left lying.
Key figures
Average job value, best month, number of completed jobs. A few figures that say something, rather than a dashboard full of dials.
Month by month
Income and expenses per month, expandable down to the single entry. That is how you find the month where something got out of hand.
Payroll, from the hourly rate to the salary certificate
Anyone with employees has to calculate every month and file an official form once a year. ELMOF does both for you.
Payslips
Monthly or hourly pay, a thirteenth salary in full or pro rata, holiday compensation, allowances and expenses. Every employee gets their payslip as a PDF.
Social security
Old age insurance, disability, loss of earnings, unemployment, accident cover, sickness benefit and the pension fund. The usual rates come as a template and can be adjusted for your business. What you withhold is set aside and not counted as available money.
Withholding tax
For employees taxed at source, with the tariff code, canton and church tax.
Child allowances
By canton and by the age of the child, with the distinction between the child allowance and the training allowance.
Salary certificate, form 11
The official form, filled from the year of payslips. It knows the difference between what carries social security and what is taxed, and the two are not the same.
Continued pay during illness
How long pay continues depends on years of service and one of three regional tables (Bern, Basel, Zurich). You pick the one for your region and the app calculates with it.
Tax office, VAT, accountant
Once a year somebody wants figures from you. Those figures come out of what you have recorded during the year anyway.
Income and expenditure statement
The statement the tax office wants to see from a sole proprietorship, as a PDF and as a table. It is produced at the touch of a button from your entries.
VAT
The return under the flat rate method most small businesses use. The tax paid is booked straight away as a payment to the federal tax administration. If you are not VAT registered you see none of this.
Export for your accountant
Three tables for your accountant software: the chart of accounts, every entry and the open items. Either in neutral columns or laid out so that bexio reads them directly.
The chart of accounts
Created for your trade during setup, not asked about. If you want to work with it, you can see and change it; if not, you never come across it.
Handing over a company
A single company can be written to an encrypted file and read back in elsewhere, with receipts, photos and everything attached to it. Meant for the accountant taking on a client company.
Working with employees
If you are not on your own, your people should be able to record what they do without seeing your figures.
Hours from the site
Your people book their time onto the right project, with the date and what they did, right where they are. It works without a signal, and you do not have to type up slips in the evening.
Receipts photographed on the spot
Fuel, materials, parking: the employee snaps it and it hangs on the right job instead of ending up crumpled in the glovebox.
They see the state, not the figures
How far the job has come and how many hours are on it, so they know whether they are on plan. Not a franc is shown: no wages, no prices, no margin.
Every role sees something different
You release per role what somebody gets to see at all. An apprentice needs something different from a foreman, and your payroll is none of their business.
On board in seconds
A code to scan and the device belongs. No user account, no password, no invitation lost in a spam folder.
Everyone on the same footing
The devices sync when you start it. Your data travels through your own storage, not through a server of ours.
Your data stays yours
ELMOF is built offline. That is not a way of cutting corners; it is why it works on a building site.
Without internet
Entries, customers, projects and receipts live on your phone. In a basement, a tunnel or a shell building you carry on working. There is no account and no login.
PIN and Face ID
At first start you set a PIN. After that nobody reaches your figures without it. If you prefer, the app opens with a fingerprint or your face.
Encrypted backup
A backup is a single file you can put wherever you like. It is encrypted with a code you choose yourself. Without that code it cannot be opened, not even by us.
Backed up automatically
ELMOF quietly makes a backup at regular intervals and keeps the most recent ones. So you have one even if you never thought about it.
What it costs
The private side is permanently free. For the business the first 30 days are free; after that it needs a subscription based on how many companies you keep, up to four. Billing runs through the App Store or Google Play, monthly, and you cancel there whenever you like. What you have recorded stays readable after it ends.
Everything on one device, in German, French, Italian or English.
